Office Coordinator

We are looking for an enthusiastic Office Coordinator to join our Paramount team in Budapest! In this role, you will be responsible for ensuring the smooth, efficient, and organized daily operation of our office with 300-400 workspaces. You will handle a wide range of administrative, logistical, and facilities-related duties, while supporting our teams and promoting a positive and engaging workplace environment.
Key Responsibilities
- Manage and track office supplies, orders, and inventories to support daily operations.
- Coordinate maintenance, cleanliness, and security services within the office, reporting issues, scheduling maintenance, and following up on resolutions.
- Liaise with external vendors (cleaning, security, catering, repairs, etc.) for contracted services, including managing invoices, purchase orders, and vendor onboarding processes.
- Organize logistics for meetings, events, and conferences: room/parking reservations, catering arrangements, equipment setup, and welcoming guests.
- Provide reception cover when needed.
- Serve as the main point of contact for employees regarding office-related inquiries and support.
- Manage space and workplace reservation requests
- Support the Office Manager with company fleet car management.
- Participate in workplace-related projects including office moves, renovations, relocations, and construction projects.
- Contribute to a positive office atmosphere by assisting with employee engagement initiatives and workplace activities.
Requirements
- Languages: Hungarian (native or intermediate) and fluent/advanced English (written and spoken)
- Education: University or College degree in Business, Economy, Tourism, Hospitality or a proven minimum of 7+ years of relevant experience in a similar role
- Work arrangement: On-site position

- Experience with an ERP system and invoice processing is an advantage
