Overview:
We’re seeking a detail-oriented operational specialist to join our team at CBS Digital, as a Business Operations Specialist (Payments). This is a hands-on role intently focused on keeping the day-to-day supplier payments workflow running smoothly. The Business Operations Specialist is a critical position responsible for smooth daily operations within the Business Operations Department. This role involves working with internal and external suppliers, employees, the Finance Department, and the Accounts Payable Department.
This position is non-staff with a 9-month contract.
Responsibilities include but not limited to:
- Develop and maintain standard operating procedures with the Senior Director.
- Review operational performance data with the Senior Director to identify areas for improvement.
- Collaborate with the management team to execute operational strategies.
- Handle payroll and invoice payments, payment tracking, reports maintenance, purchase order creation, and daily consistent communication with both the Finance Dept and Accounts Payable (AP) teams, as well as constant communication with internal stakeholders and external suppliers.
- Coordinate with vendors/suppliers and AP teams to ensure proper setup of Graphite supplier accounts and timely invoice payments.
- Coordinate with suppliers and talent /talent agencies to make sure critical payment needs/issues are addressed quickly.
- Handle escalations to AP regarding payment delays/concerns and problem solving.
- Monitor and address discrepancies in invoices received.
- Facilitate cross-channel feedback from vendors/suppliers and internal stakeholders (Finance, Production, AP, Marketing, Operations, Facilities, Security).
- Submit and reconcile invoice and payroll payments; Responsible for executing payroll inputs and validating payroll entries, (accuracy is critical).
- Create Purchase Orders for invoice tracking and payments in Oracle Fusion.
- Organizing, researching and maintaining reporting and tracking for all Digital vendors – invoice tracking and talent usages.
- Assist employees’ and suppliers’ questions related to payment, whether payroll or invoices.
- Contribute to the accomplishment of the Business Operations team goals, objectives and activities.
- Perform a variety of general administrative/clerical/record management tasks as required in the Fort Lauderdale office, including travel/expense reporting, events preparation and coordination. May provide backup for alternate assignments.
Basic Qualifications:
- Bachelor’s Degree or equivalent or 3+ years of work experience in administration
Additional Qualifications:
- Proficiency in Microsoft Office Suite, Gmail Suite, Sharepoint, Adobe Acrobat, Oracle systems, RampUP, Graphite, Concur, and the operation of standard office equipment
- Must have attention to detail, organizational skills, and focused multitasking abilities
- Ability to work autonomously within established, defined processes
- Strong coordination and communication skills across cross-functional platforms, including HR, Finance, Accounts Payable, IT, employees, and suppliers
- Must have solid communication (written and verbal) and interpersonal skills to work across diverse teams
- Problem-solving abilities to address challenges quickly and successfully in a dynamic, cross-functional environment
- Managing assignments and meeting deadlines
- Ability to handle a high volume of work
- Customer support experience as well as an AP background is nice to have
- Well-developed human relationship skills are a must
- Communication skills and ability to build effective relationships with internal teams and external vendors
- Ability to work successfully in a team environment within Business Operations
- The ability to manage confidential information with discretion is a must
