The Production Coordinator will support and liaise with the Production Manager to interpret projects and productions for the creative team from initial concept through to completion. This role ensures that budget, schedule, and creative requirements are met, delivering on creative excellence. Responsibilities range from booking voiceovers to supporting high-profile campaigns, requiring strong multi-tasking abilities. 

The Production Coordinator will also assist the production management team with day-to-day tasks and the general running of the department. The role involves close communication with and support for International teams across the globe. 


What will you be doing?

Finance:

  • Raise Purchase Order requisitions for music clearances, post-production sessions, agency fees, shoot production, and voiceovers.

  • Liaise with the creative team to maintain accurate budgets for each project.

  • Monitor daily spends by project using departmental purchasing systems and cost managers.

  • Set up new suppliers and ensure correct invoicing guidelines and deadlines are adhered to.

  • Adhere to company guidelines regarding production spend, expenses, and T&E.

  • Maintain and update records of production activity and spend, overseeing departmental filing and Excel records.

  • Work with accounts payable and payroll to ensure timely payment to external suppliers, freelancers, and casual employees.

  • Assist the Production Management team with cost management and reporting.


Legal:

  • Raise all contracts and ensure completed contracts are returned to legal.

  • Negotiate simple contract terms and fees for collaborating production companies, creative agencies, and freelancers.

  • Liaise with legal, HR, and finance departments for contracts, NDA’s, vendor selection, capex, payments, and implement new company policies effectively.

  • Update contract logs, contact files, and freelance contract files.

  • Ensure relevant legal paperwork is completed for all bookings and voiceovers.

Campaign Production:

  • Assist the production management team with campaign production, including booking crew, freelancers, and organizing reviews.

  • Create call sheets for filming and understand crew rates and overtime policies.

  • Engage freelancers and negotiate rates and payments.

  • Have knowledge of different freelancer/casual contract types and payment terms.

  • Advise on best practices to achieve creative excellence with the latest technologies and equipment.

  • Assist with Risk Assessment forms and Health and Safety procedures.

Department:

  • Assist the Production Manager with organizing the creative team’s daily diaries and production workflow.

  • Ensure all projects are produced cost- and time-effectively while adhering to creative ideals.

  • Flag any project overages to the Production Manager.

  • Plan and book external post sessions, including daily audio bookings.

  • Liaise daily with Voice Over artist agencies to book relevant talent and ensure clearances.

  • Maintain departmental edit schedules and calendars.

  • Monitor and ensure all promos/designs are delivered as requested.
  • Assist international colleagues with any questions on team output and campaign deliverables 

What are we looking for

Administrative and Organizational Skills:

  • Strong administration and organizational abilities.

  • Experience in shoot preparation and admin tasks.

  • Ability to produce project schedules and maintain departmental edit schedules.

Financial Management:

  • Ability to budget and forecast accurately.

  • Experience in keeping accurate budgetary records, reconciling budgets, and using purchasing systems.

  • Knowledge of different freelancer/casual contract types and payment terms.

Legal and Compliance:

  • Knowledge of Risk Assessment forms and Health and Safety procedures.

  • Experience in raising contracts and ensuring legal compliance.

Communication and Interpersonal Skills:

  • Excellent communication and interpersonal skills.

  • Ability to work well in a team environment and help achieve departmental goals.

  • A personable manner with the ability to communicate effectively with different kinds of people, from crew to talent in diverse markets
  • 2nd native or fluent language additional to English a bonus 

Adaptability and Problem-Solving:

  • Energetic, enthusiastic, adaptable, resourceful, and solution-focused.

  • Experience working in a high-turnover short form creative department
