ROLE OVERVIEW 

Simon & Schuster UK is looking for a proactive and adaptable Head of Office & Facilities to join the team on a 12-month fixed term contract. The postholder will be responsible for managing all aspects of the office environment and facilities to meet the demanding and growing needs of the business. This includes, but is not limited to, all matters of health and safety, office layout and furniture provisions, all maintenance and security, company fleet and ESG business support.

 

Key responsibilities and duties include:
•    Management of all day-to-day office operations
•    Invoice management
•    Manage the office space and layout, from basic desk planning to managing all office moves and required building works
•    Project manage all office repair and refurbishment works 
•    Responsible for all health and safety procedures and documentation, including fire safety, first aid, DSE and risk assessments
•    Making sure the company is compliant with all regulations and codes of best practice with regards to office and workplace standards
•    Conducting all required risk assessments and reviewing them as appropriate
•    Direct line management of a small team; regularly reviewing team performance, appropriate delegation of tasks and provide support when required
•    ESG business support including to chair the Green Initiative Committee

•    Excellent communication and interpersonal skills
•    Organised with the ability to multitask
•    Strong leadership skills
•    Resourceful with the ability to manage irregular workload 
•    Confident and able to deal with a variety of people and situations
•    Demonstrate a full understanding of health & safety, building compliance and ESG legislation and codes of practice.
•    Competency in the use of IT, including invoicing systems 
•    Ability to write, develop, review and promote policies and procedures in relation to facilities management, health & safety and ESG
•    Ability to manage, conduct and action risk assessments
•    A good understanding of project management

 

Qualifications and experience:
Senior Facilities Management experience gained in comparable environments is essential. Including:
•    Relevant Health & Safety qualification (e.g. IOSH or NEBOSH) 
•    Previous experience managing office space planning strategies and implementation 
•    Experience managing all Health and Safety, building compliance and environmental regulations and legislative requirements. Including policy and procedure management.
•    Proven involvement in conducting risk assessments, both for general purposes and for individuals
•    Previous experience managing a team and their development
•    Experience in contract management, particularly in the office services sector
•    Fire Marshal, First Aid and Mental Health First Aid qualifications are all beneficial to the application
