This coordinator position requires you to oversee tasks related to internal and external events at our Paramount Pictures Studio in Hollywood, Los Angeles. This includes working alongside Event Managers and the Executive Director of Operations before, during, and after events. Candidate must be extremely organized and be able to manage logistics of multiple events and details simultaneously.
Responsibilities include, but not limited to:
- Team player with high level of dedication
- Answer calls for Event Managers as needed or requested
- Maintain a working relationship with all vendors, especially from preferred list
- Understanding & anticipating the complex needs of different events and diverse clients/market
- Ability to plan all event aspects, such as checking availability & securing venue, obtain quotes from florists, entertainment brokers, rental furniture, games/activities, etc.
- Executes requests for set-up and rental orders as needed
- Administers Pull Sheets
- Ensures labor is assigned to the appropriate project numbers
- Maintains Master Calendar and Event Manager Calendar
- Liaises with, accounting, finance, studio services and other departments as necessary
- Manage guest list and generate Gate Passes for site tours and day of event
- Strong knowledge of venues and vendor offerings to promote with client while on site tour
- Attentive to the value of staying under budget while planning event specifications.
- Assisting with events on day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, upselling, organizing vendors and assisting with strike
- Possess strong communication skills, and the ability to present event ideas and plans to client and vendors
- Handles and follows up on S.O’s, P.O.’s, COI’s and Vendor Lot Agreements
- Handles all additional responsibilities as assigned including after-hour and weekend events
Basic qualifications:
- Minimum 2 to 3 years’ experience in an administrative role
Desired skills:
- Bachelor’s degree
- Previous experience handling basic accounting, purchase orders
- Basic event coordination training
- Special Events background in coordinating, including vendor relations
- Strong computer proficiency – Word, Outlook, Excel, Power Point, Accounting programs and Customer Management programs
- Detail oriented, strong multi-tasking abilities
- Good oral communication skills in order to interact with company personnel and outside parties

ADDITIONAL INFORMATION
Hiring Salary Range: $50,000.00 - 56,000.00.
The hiring salary range for this position applies to New York, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
