Overview and Responsibilities

The Events Coordinator supports the Paramount Events & Brand Experience Department in the planning and execution of high-profile internal and external events, including premieres, press events, screenings, board and executive meetings, award shows, trade shows, and corporate functions. This role requires excellent organizational skills, attention to detail, and the ability to thrive in a fast-paced, team-oriented environment.

 

Key Responsibilities

  • Assist in the coordination, logistics, and execution of Paramount events from concept through completion.
  • Support Senior Managers and Producers with venue research, vendor outreach, budgeting, and timeline management.
  • Prepare and maintain event documents including run-of-show schedules, contact sheets, guest lists, and production grids.
  • Help manage RSVP tracking, invitation lists, and guest communications in partnership with internal and external collaborators.
  • Coordinate shipment, inventory, and on-site setup of event materials, signage, credentials, and decor.
  • Process vendor invoices, expense reports, and contracts in accordance with Paramount’s finance and procurement policies.
  • Collaborate with security, facilities, creative, and communications teams to ensure all event needs are met.
  • Provide administrative support including development of pre-meeting agendas; planning decks; managing calendars, travel coordination, meeting scheduling, and note-taking.
  • Manage organization and upkeep of the events storage room.
  • Participate in on-site event execution, including setup, registration, guest relations, and breakdown.
  • Support event strategy as directed by key partners.
  • Travel to event sites for pre-event planning and execution.
  • Maintain departmental databases, contact lists, and post-event wrap reports.

 

Basic Qualifications

  • 1+ years experience in an event, live production, hospitality, or experiential marketing, ideally within entertainment or media, supervisory experience preferred.
  • Strong written and verbal communication skills.
  • Highly organized with ability to manage multiple projects simultaneously under tight deadlines.
  • Ability to learn from feedback and adapt to shifting priorities.
  • Proficiency in Microsoft Office and Google Workspace; previous experience with Airtable, or similar project management tools a plus.
  • Flexibility to work evenings, weekends, and extended hours during event periods.
  • Professional demeanor and ability to work with executives, talent, and partners.

ADDITIONAL INFORMATION

 

Hiring Salary Range: $42,400.00 - 55,000.00. 

 

The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.  The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable,  as otherwise dictated by the appropriate Collective Bargaining Agreement.
