We are seeking an Executive Assistant to provide administrative support to the Senior Vice President, Field Publicity. This is a hybrid based position in Los Angeles, CA.
Responsibilities to include, but not limited to:
• Books travel: flights/cars/hotels for talent, filmmakers, as well as for regional press traveling for press events.
• Manages calendar and expense reporting for Field SVP
• Works as department liaison with Marketing Legal Team for Contract Request Forms and Statements of Work in relation to Field agencies
• Overall Field agency liaison backup
• Manages Field agency contacts
• Assists at Los Angeles based junkets in-person as needed
• Creates and manage Field screening booking reports and responsible for updates made on behalf of over 50 markets
• Responsible for obtaining approved marketing assets requested by over 20 regional offices
• Assists Senior Publicists and Sr. Coordinators with reviewing regional market partnerships, promotions and grassroots outreach
• Manages annual events calendar compiling from over 50 field markets on a weekly basis
• Handles promotional screening recaps
• Covers LA screenings in-person at various theaters in Los Angeles County and Orange County
• Department liaison with Marketing Finance Team – Raising POs, managing agency invoicing and payment inquiries
• Creates and distribute executive itineraries for specific events in support of SVP
Basic Qualifications / Skills:
• Bachelor’s Degree preferred
• 1+ years of related experience
• Strong social media skills
• Highly Proficient with MS software including Word, Excel & PowerPoint
Desired Qualifications / Skills:
• Good relationship-building skills
• Ability to multitask and deliver under tight deadlines with a calm demeanor
• Excellent written, verbal, and interpersonal skills with the ability to collaborate with staff, other administrators, internal and external agencies, senior management, and filmmakers
• Active social media user and on top of current trends
• Must be organized and detail oriented with the ability to manage multiple high priorities and have the ability to appropriately prioritize work and proactively anticipate and manage time efficiently
• Self-motivated
• Strong interest in Marketing and Advertising
• Experience in entertainment industry

ADDITIONAL INFORMATION
Hiring Salary Range: $50,000.00 - 55,000.00.
The hiring salary range for this position applies to New York, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
