Overview:
We are looking for someone responsible for assisting the President of Global Products & Experiences with the day-to-day operation of the department, via a full-range of executive administrative support. Our ideal candidate will be able to anticipate the needs of a busy executive and take the initiative to tackle problems thoughtfully and independently. They will partner daily with the support staff of our C-Suite Senior Executives. This position is ideal for a self-starter who is proactive and able to prioritize optimally for the Senior Executive.
Responsibilities:
- Coordinate a high volume of internal and external meetings, appointments, offsites, presentations, luncheons and/or dinners
- Maintain accurate appointment calendars, contacts and meeting-specific distribution lists via Outlook
- Correspondence: Compose and disseminate e-mails, memos, agendas announcements and mail for executive, responding to all inquiries in a timely manner. Copying, scanning and faxing business documents when needed
- Telephone coverage: Answer all incoming telephone calls - screening, prioritizing and relaying messages to Executive
- Book transportation, accommodations and reservations for domestic and international business travel. Summarize via comprehensive itineraries.
- Liaise between executive and team as well as external partners
- Act as a thought partner to anticipate needs of Executive
- Office maintenance: Order office supplies, track and ship all incoming and outgoing packages,
- Prepare, submit and file T&E reports.
- Design and update departmental documents, charts and forms via Word & Excel.
- Work efficiently & effectively with Paramount’s support departments, i.e. travel management, facilities, technology help desk, accounts payable, etc. to fulfill job responsibilities, building bridges and key relationships as needed.
Basic Qualifications:
- Bachelor’s degree or equivalent experience
- 3+ years as an assistant to a senior-level executive, preferably in the entertainment industry
- Experience with: Microsoft Suite, Concur, Slack, Zoom, Microsoft Teams

- Professional and personable demeanor with an emphasis on composure and flexibility
- Ability to handle confidential information and use discretion
- Strong interpersonal skills. Comfortable representing a department while interacting with individuals at all levels of an organization, particularly senior levels
- Superior organizational and time management skills with the ability to anticipate, prioritize and fulfill multiple tasks with an acute attention to detail and deadlines
- Proven ability to act autonomously in day-to-day activities

ADDITIONAL INFORMATION
Hiring Salary Range: $65,000.00 - 85,000.00.
The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
