Production and Special Event Security Coordinator

Key Responsibilities:

Manage daily and weekly operational workflows for global security team activities.

Maintain project trackers for multiple productions and special events; monitor deadlines and deliverables.

Coordinate logistics between security teams, production offices, and event planners, and support emergency response as needed

Support scheduling and facilitate weekly stakeholder meetings; prepare agendas and distribute action items.

Obtain production and special event documents (call sheets, schedules, site plans, emergency contacts).

Ensure accuracy and completeness of records for compliance and audit purposes.

Act as liaison with security vendors for scheduling, credentialing, and service confirmations.

Assist with vendor onboarding and invoice management.

Update security metric dashboards and reporting systems (incident logs, KPIs, compliance trackers).

Communicate updates and ensure alignment across departments (Productions, Events, Risk, Legal, HR, Publicity, Marketing, Content Security, EHS).

Maintain updated contact lists, distribute security documents and policies, and document current and upcoming productions and special event details.

Provide operational assistance to security teams during high-profile productions and special events.

Occasional domestic and international travel; flexible schedule required

Must be collaborative and adaptable in dynamic environments, and be able to maintain confidentiality and discretion.
Required Qualifications:
-
Solid organizational skills with the ability to manage calendars, schedule meetings, and track multiple projects simultaneously.

Experience coordinating logistics for team operations, including preparing agendas and follow-up action items.

Proficiency in Microsoft Office Suite and project tracking tools (e.g. Airtable or similar).

Great attention to detail and ability to maintain accurate records and documentation.

Proficient communication skills for interacting with internal teams, vendors, and stakeholders.
Preferred Qualifications:

Experience in the entertainment industry (film, TV, or live events) or similar fast-paced environments.

Familiarity with document management systems and data entry for reporting purposes.

Ability to adapt quickly and prioritize tasks in a dynamic global setting.

ADDITIONAL INFORMATION
Hiring Salary Range: $50,000.00 - 60,000.00.
The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education. The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable, as otherwise dictated by the appropriate Collective Bargaining Agreement.
