Overview
In this role as a Recruiting Coordinator you'll play two integral parts on the Talent Acquisition Team. With regards to the recruiting process, you will ensure that senior-level candidates have a white glove experience. This job involves coordinating executive virtual and on-site interviews, including greeting candidates, directing them to their interviews, and supporting them during their time on-site. Additionally, you will also provide support to the Senior Vice President of Talent Acquisition, handling tasks such as managing expenses, organizing travel, and keeping calendars up to date—all from the vibrant environment of the Paramount Lot.
Responsibilities include, but are not limited to:

Schedule and prioritize meetings for the Senior Vice President of Talent Acquisition. Actively resolve any scheduling conflicts and make necessary adjustments to maintain an organized calendar.

Coordinate interview schedules for executive candidates, liaising with EA's in other departments to organize logistics. Keep meticulous records of interviews and candidate progress.

Serve as the initial contact for all stakeholder inquiries and establish as well as maintain communication channels with vital internal and external partners.

Arrange comprehensive travel itineraries for the Senior Vice President of Talent Acquisition, including booking flights, accommodations, and transportation. Monitor and manage travel expenditures, ensuring accurate preparation of expense reports for financial reconciliation.

Ensure candidates have a seamless and personalized experience during on-site interviews by greeting them, walking them to the different locations, managing amenities like refreshments, and breaks. Oversee the preparation of interview rooms to create a comfortable and professional setting, and accommodate any special requests or needs executive-level candidates may have.

Assisting with department initiatives and ad-hoc projects.
Basic Qualifications:

2+ years in executive support or assistant roles

High level of comfort, poise and gravitas when communicating with internal and external Executives

Proficiency in Microsoft Office and Google Workspace
Additional Qualifications:

Experience with complex candidate interview scheduling

Experience with travel booking systems

Familiarity with expense management software

Demonstrated ability to manage schedules and logistics

Experience in handling confidential information with discretion

Evidence of fostering solid relationships with executives and stakeholders
