Assistant Aircraft Coordinator

OVERVIEW & RESPONSIBILITIES:
This Coordinator's primary purpose is to assist in all aspects of scheduling, dispatching, and flight following.This position reports to the Chief Pilot and works with the Executive Director Aircraft Logistics. In the absence of Chief Pilot, will report to the Executive Director Aircraft Logistics.
Responsibilities include but are not limited to:
- Research and negotiate the best fuel prices for each destination airport and relay the information to the Executive Director of Aviation Logistics. When dispatching, ensure the current fuel prices are added to the Trip Sheet and the Morristown Aircraft Service Order.
- Create, maintain and use the checklists to ensure each aircraft and commissary are stocked to minimum levels, as determined by the Chief Pilot. Purchase required items and replace expired items, as necessary.
- Manage East Coast stock of all aircraft beds, linens, plates, and cutlery. Purchase and maintain the currency of all aircraft magazines.
- Be present for each departure and, during normal business hours, each arrival, to assist with pre- and postflight tasks. When an aircraft comes back from a trip outside of normal business hours, ensure that the aircraft is trip-ready by the following day.
- Prior to each departure from MMU, ensure that each aircraft is fully stocked with all standard galley items, as well as items specifically requested by the passenger(s). This includes, but is not limited to, cutlery, dishes, wine, snacks, and bedding.
- Maintain knowledge of in-house aviation software programs, as well as Microsoft Office applications.
- Research and coordinate aircraft charters as directed by the Executive Director of Aircraft Logistics.
- Retain knowledge of the job duties for the Executive Director of Aircraft Logistics and the Inflight Service Administrator to ensure coverage when needed.
- Process and input various invoices related to the aircraft and hangar, including utilities and aircraft vendors.
- Other duties include generating reports, scheduling, phones, filing, recordkeeping, greeting visitors and clients and providing gate access.
BASIC QUALIFICATIONS:
- 2 to 3 years' experience in aviation operations including dispatch scheduling
- Proficient in MS Office (Word, Excel, Outlook) and Slack
- Administrative experience and a detailed knowledge of the company operations
- High school graduate or equivalent
ADDITIONAL QUALIFICATIONS:
- Familiarity with aviation operations scheduling software a plus
- Excellent oral and written communication skills are necessary

The hiring salary range for this position applies to New York, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.
