Overview and Responsibilities

As Executive Assistant to the Senior Vice President of Paramount Advertising, you will exercise sound judgment across a wide range of situations and handle confidential matters with complete discretion. You will communicate clearly, both verbally and in writing, and bring strong administrative and organizational skills to a fast-moving environment. Juggling multiple tasks and shifting priorities will be part of your daily routine, and you will manage them with ease.The ideal candidate is poised, polished, and welcoming, with exceptional interpersonal skills. You can prioritize effectively for yourself and for senior executives, and you stay composed and productive under tight deadlines. Strong business acumen, sharp awareness, and a commitment to efficiency in everything you do will be the keys to your success. This is a full-time, in-person position based in Times Square, New York City.

 
Responsibilities include but are not limited to:
 
  • Be highly responsive to direct and anticipated needs; provide fast, precise, and mindful responses to requests, and follow up on action items in support of the executive’s efficiency and efficiency
  • Coordinate heavy travel itineraries including flight reservations, hotel, and car service quickly and correctly
  • Inform and plan actions based on the itinerary with appropriate parties, monitoring throughout
  • Process associated expenses as required
  • Complete scheduling and calendar management as needed with a heavy focus on coordination of complex meetings with multiple participants and locations
  • Provide effective and expeditious meeting coordination including agendas, notes, action items, and follow-ups
  • Run meeting presentations, conference room, and AV equipment logistics
  • Keep the department distribution lists updated. Send communications to everyone in the department.
  • Screen and respond to phone calls, emails, and incoming/outgoing packages
  • Partner with key partners to Ad Sales team guidance and their EAs to collaborate, acquire information, problem-solve, and achieve desired results
  • Manage special projects, run occasional personal errands, and take on additional duties and projects as needed
  • Prioritize tasks as needed and organize daily
  • Always monitor emails during working hours and before and after them

 

Basic Qualifications
  • 5+ years of experience as an Executive Assistant or in a related field

 

Additional Qualifications
  • Enthusiastic about the art and science behind being an impactful and value-adding Executive Assistant
  • Use good judgment and discretion when interacting with Senior Executives. Demonstrate solid decision-making skills with industry leaders and other key partners.
  • Dynamic and enthusiastic to tackle new projects and ideas while maintaining focus on key priorities
  • Able to function as a central knowledge resource for the team to help facilitate streamlined communications and drive toward team results
  • Applies solid writing, editing, and proofreading skills for emails, presentations, and other correspondence

ADDITIONAL INFORMATION

 

Hiring Salary Range: $65,000.00 - 85,000.00. 

 

The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.  The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable,  as otherwise dictated by the appropriate Collective Bargaining Agreement.
