Overview and Responsibilities:

 

We are currently seeking a Sr. Manager, Facilities Finance for the Facilities Management team. This person will be responsible for monitoring departmental expenses, managing payments, and supporting compliance processes related to financial transactions. The role will collaborate closely with Financial Planning, General Accounting, Accounts Payable, and the ViacomCBS (Paramount Global) Real Estate Department, and will regularly engage with external partners including building owners, property managers, contractors, and vendors. This position reports to the Senior Director of Finance, Facilities Management.

 

Responsibilities include but are not limited to:

 

  • Review, Reconcile and Analyze both the Estimated and Actual Operating Expense Escalation and Real Estate Tax Escalation charges for all VMN and CBS (i.e. NYC, DC, CA) rental properties. This includes manual preparation/input of each monthly charge, and annual true-ups; Update the Desk-Top Audit Report – Master List, to discuss property status with SVP and Director of Corporate Realty; Meet with property managers to discuss discrepancies in their Operating Expense Statements.
  • Manage all active Viacom International/CBS Broadcasting subleases (1515 Broadway = 1 sublease; 1345 Avenue of the Americas = 1 sublease; 1700 Broadway = 3 subleases). This includes monthly subtenant invoicing for base-rent, operating and/or real estate tax escalation, sundries/work-orders and submetered electric charges; Account for sublease profits, if any.
  • Review and Process all Viacom International invoices in SAP/Ariba relating to submetered electric and various utility charges at 1515 Broadway, 300 New Hwy (CCC), 35 Adams Avenue (NOC), 555 W. 57th Street, 1345 Avenue of the Americas and 1700 Broadway; Responsible for reviewing/processing all operating expenses at 35 Adams Avenue (NOC), 300 New Hwy (CCC) and 1515 Broadway, including preparation and confirmation of monthly Purchase Orders (as well as Security Guard Patrols), where FSA’s are applicable; Preparation of monthly accruals, year-end accruals and other journal entries.
  • Responsible for preparing and delivering (via Echo-Sign) all Facilities Services Agreements (FSA), and any subsequent Task Orders for the NOC, CCC and 1515 Broadway. This includes working with our Legal department, when necessary.
  • Develop and maintain good rapport with Financial Planning, General Accounting, Accounts Payable and other Corporate Departments.
  • Collaborate with all staff of Real Estate & Facilities Department as integral means of achieving departmental goal of providing high level of customer service.
  • Return all phone calls and/or e-mails within a 24-hour period, as per departmental policy.

 

Basic Qualifications:

 

  • Bachelor’s degree in Finance, Accounting or Business Administration.
  • Excellent interpersonal communication skills, verbal and written.
  • Excellent computer skills i.e.: WORD, EXCEL, SAP/Ariba, Power Point, Graphite
  • High level of motivational and organizational skills.
  • A proven ability to work under pressure.
  • The ability to understand the culture of each of the networks.
  • Knowledge of financial management systems to effectively monitor the finances of the department.
  • The ability to manage special projects in relation to preparing budgets, forecast and financial analysis.
  • Knowledge of design/construction industry and design/construction terminology.
  • Attention to detail, especially as it relates to financial data.
  • A minimum of 8+ years of experience in finance, accounting, and administration with at least 3 years working in a corporate environment.
  • Experience in the use of financial management software is required.

 

Additional Qualifications:

 

  • Experience within corporate administration/facility groups preferred.

ADDITIONAL INFORMATION

 

Hiring Salary Range: $115,000.00 - 130,000.00. 

 

The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.  The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable,  as otherwise dictated by the appropriate Collective Bargaining Agreement. This position is bonus eligible.
