We are looking for a highly organized and proactive Team Assistant to keep our brand team running seamlessly and provide dedicated support to the Brand Lead. In this dynamic, dual-role position, you will juggle multiple priorities with confidence, demonstrate impeccable discretion, and thrive in a collaborative environment. Your work will span coordination, scheduling, reporting, project tracking, and contributing to marketing initiatives, including content management and event planning - to help bring our brand efforts to life.
Key Responsibilities:
- Offering confidential executive coordination for the Vice President, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Arranging, planning, and coordinating all aspects of logistical support for local and overseas company meetings/events.
- Coordinate the preparation of meeting agendas, ensure effective documentation of follow-up actions, and proactively track completion of action items.
- Oversee progress tracking of departmental goals, timelines, and deliverables to ensure alignment with organizational objectives.
- Delivering help to the team in shipping, procurement, and budget-related documentation and processes.
- Foster collaboration to enhance business operations and organizational effectiveness.
- Support the development of marketing content, communications, and research initiatives.
- Coordinating logistics for marketing campaigns, launches, and partnerships.
- Coordinating content requirements, programming support for partners – both long form, short form, and for our own platforms.
- Serve as the primary contact for vendors, freelancers, or agencies regarding marketing activities.
- Undertake additional ad-hoc and special projects as required.
Qualifications:
- Diploma in Business Administration, Marketing or a related field with a minimum of 8 years in office management or team support
- Outstanding organizational and time management abilities; capable of prioritizing tasks, handling multiple projects, and meeting deadlines.
- Proven ability to maintain confidentiality and exercise discretion with sensitive information.
- Excellent written and verbal communication skills; proficiency in Mandarin is an advantage.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Demonstrate strong interpersonal skills and collaborate effectively with diverse stakeholders.
- Dedication to continuous learning, especially in bringing to bear AI and digital tools to improve work efficiency.
