CBS Marketing is seeking a hard-working, proactive, and meticulous Coordinator to join the team! This person will provide administrative support to several senior marketing executives and the department as a whole. As the owner of all calendars, expenses, and virtual/in-person meetings, the focus will be on maximizing time and impact for the department. The role will include tracking deadlines, boosting personal productivity, and serving as the go-to resource for the leadership team on processes and procedures, while keeping an eye on the team’s overall health and morale. The ideal candidate will have strong communication, coordination, collaboration, and prioritization skills to support a busy team.

 

Responsibilities include but are not limited to:

  • Provide administrative support to multiple senior leaders of CBS Marketing.
  • Heavy calendar management for senior leaders daily schedule, calendar, and travel booking requirements in an ever-changing, fast-paced environment.
  • Schedule internal meetings and external meetings with high-profile partners. Maintain effective communication with executives and team regarding calendar and changes to calendar.
  • Manage inbound requests for meetings and approval needs.
  • Own various virtual and in-person meetings, with a hyper-focus on productivity, agenda setting, follow-up notes and guaranteed delivery of all prep materials.
  • Plan and complete on-site and off-site meetings, dinners and team events. Assist with team-building activities for the department.
  • Interact with senior management, Executive Producers (and their offices), talent reps, and various divisions within Paramount and external constituents.
  • Prepare expense reports and order department supplies as needed.
  • Set up and manage travel and accommodations for executives or visitors coming to CBS.
  • Serve as a conduit between the various CBS Marketing groups by acting as a source of information and maintain the flow of information.
  • Maintain and organize shared file systems for the department.

 

Basic Qualifications:

  • 1+ years of prior experience as a coordinator or executive assistant in the marketing, advertising, or entertainment industry (strong internships will be considered)
  • Skilled in MS Office suite: Word, Excel, PowerPoint, SharePoint and MS Outlook Calendar, as well as Zoom, Slack, and ideally AirTable

 

Additional Qualifications:

  • Bachelor's degree preferred
  • Communicate effectively and tactfully with persons on all levels, in person, via email, and on the phone
  • Detail oriented and organized; a stellar multi-tasker who pays close attention to detail and understands written and verbal instructions
  • Resourceful, a self-starter, great teammate, and efficient problem solver with the ability to anticipate needs in a fast-paced work environment. Open to using new tools and identifying ways to improve communications and department processes.
  • Organize and schedule work effectively
  • Great at managing schedules for large organizations
  • Understands both traditional and digital entertainment marketing (e.g. on-air, print, social, etc.)
  • Try new things and learn from them.
  • Can make good decisions and work independently.
  • Knowledge of Adobe Photoshop is a plus
  • Management has the right to add or change duties and job requirements at any time.

ADDITIONAL INFORMATION

 

Hiring Salary Range: $60,000.00 - 65,000.00. 

 

The hiring salary range for this position applies to New York, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.  The benefits available for this position include medical, dental, vision, 401(k) plan, life insurance coverage, disability benefits, tuition assistance program and PTO or, if applicable,  as otherwise dictated by the appropriate Collective Bargaining Agreement.
